JOB DETAILS:
Position: Support Services Coordinator (1 position)
Reports to: Construction Manager
Duty Station: Nyanzaga, Sengerema, Mwanza
Contract Type: Specified Period of Time Contract

Position Purpose:
Assist the Site Construction Manager and HR Manager by providing efficient and effective support to achieve the overall objectives of the company. Manage day-to-day administrative services and operations, particularly in the provision of facilities management, transport, and travel.

Roles and Responsibilities:
People Management:
• Manage the relationship between SMCL and support services contractors to ensure smooth operations.
• Ensure that subordinate employees and contractors comply with company regulations.
• Mentor, train, and motivate subordinates to deliver results efficiently, effectively, and on time.
• Interact with all department heads to achieve departmental KPIs.
• Supervise and assist with maintenance schedules and project timelines.
Operations:
• Organize VIP visit schedules and prepare reports, presentations, and correspondence.
• Ensure the transmission of information internally and externally (decisions, memos).
• Oversee all travel movements into/out-of Tanzania and internal travel.
• Update regulatory and professional information and manage filing and archiving of documents.
• Organize site events and ensure effective corporate internal communication.

• Assist in preparing documents for tenders for contractors.
• Plan best allocation and utilization of space and resources for buildings or reorganization of premises.
• Ensure that contractor work is completed satisfactorily, and follow up on any deficiencies.
• Coordinate and lead support services teams to cover various responsibilities.
• Manage employee business travel, transportation, and accommodation bookings in accordance with company policies and Travel Policy.
• Ensure efficient and effective use of pool vehicles/drivers for travel.
• Regularly review support service systems, policies, and procedures to ensure conformity with best practices.
• Maintain accurate bookkeeping and records for internal control systems and cost control measures.
• Manage all site access forms and procedures.

Qualifications:
• Degree in Business Administration, Facility Management, or a related discipline in Social Sciences.

Experience:
• 3 years’ experience in the hospitality or mining sector.
