Candidate Profile
The Supply Chain controller will play an instrumental role in carrying out Imagine’s mission to scale tabletbased learning solutions that enable children across the globe to become literate and numerate. The successful candidate will play a key role in setting up the supply chain control function from demand and supply planning to oversee country stock positions (inventory levels) to replenish stock, prevent stock-outs and ensure timely delivery of orders in the country to meet the program implementation timelines as set by the Head of Portfolio, Country Directors and stakeholders. They will be tasked with demand and supply planning for all countries starting with Malawi, Tanzania and Sierra Leone, placing orders, managing the production and  shipping schedule, analyzing budgets, managing suppliers, and reporting. The candidate will join a highly committed and collaborative team that is working together to empower every child, to achieve their full potential. Key Responsibilities
The Supply chain controller will work closely with Imagine’s Director of Supply Chain (Global) and Head of Portfolio to establish demand and supply planning processes and controls to ensure that countries are informed of the end-to-end times, requirements to place orders and tools to have visibility on the stock position and demand. Imagine procures in the following categories: tablets, lithium batteries, solar panels, inverters, lighting, internet connectivity, security, cages, security alarms and security lights.

This role’s responsibility includes coordinating with global suppliers in placing orders, following up with suppliers on the production delivery schedule to meet production lead times, scheduling quality checks, following up with the forwarder on the shipping schedule, following up with finance on paymenents, providing country logistics managers with import documents needed for the duty waiver application and customs clearance, manage product codes and variants for new products and spare parts and overseeing country stock positions and reorder plans. The Supply Chain Controller’s responsibilities will include – but will not be limited to the following:-

Leading Demand and Supply Planning
• Work with Head of Portfolio and Country Directors to establish the yearly demand forecast.
• Assess the stock position and reorder quantities
• Work with Repairs Managers to establish the yearly demand for spares and tools
• Work with the Director of Supply Chain, Head of Portfolio and Co-CEOs to analyse and approve quarterly and annual the budget / procurement plans

• Establish the reorder plan with key milestones and timelines to inform the end-to-end lead times, delivery schedule and time to place orders
• Improve the stock coverage in the country, purchase order lead times and stock turnover with suppliers
Production
• Request quotations from suppliers
• Prepare purchase orders
• Apply for supplier payments (deposits and balance payments)
• Keep clean and up-to-date payment reconciliation with finance and suppliers
• Coordinate with suppliers to ensure timely delivery as per the production lead times
• Work with the QA and QC consultant to schedule quality checks after production Provide the yearly production report and suggestions for supplier negotiations
Shipping
• Work with the forwarder to schedule shipments as per the production schedule
• Work with suppliers and the forwarder to provide shipping documents to country Logistics Managers for the duty waiver application and customs clearance
• Manage stock in transit from suppliers to the port of destination and communicate delays in the transit time
• Arrange payments to the forwarder for each shipment
• Keep up-to-date information on import requirements for all countries

Inventory Management
• Manage inventory with suppliers for new products, spare parts and tools yet to be shipped to countries
• Develop product codes to manage product variants
• Develop a product table to guide local teams on product types, the latest versions and spare parts compatibility to facilitate the ordering process
• Coordinate with the logistics manager to analyze the slow-moving stock and suggest alternative supplies to consume stock to avoid redundant stock
• Provide quarterly reports on stock loss, supplier inventory turnover and purchase order lead-time.

Qualifications
The successful candidate will possess the following competencies, experiences, and qualities:
• Bachelor’s Degree or Masters in Supply Chain and Procurement. Preferably with a CIPS certificate.
• A minimum of 5 years experience in production, demand and supply planning.

• A minimum of 3 years experience using an ERP system.
• Experience leading the S&OP process (Sales and operations planning) for a multinational organization.
• Proficient in Microsoft Excel and Google spreadsheets.
• Attention to detail and strong analytical and numerical skills. Experience dealing with Global suppliers.
