Job Description
Job Purpose
• To provide high level confidential support to the Chief Executive by providing a full secretarial and administrative service.
• To drive and ensure the maintenance of the Company’s brand integrity across all company marketing initiatives and communications.
Responsibilities
1. To provide full personal assistant support by dealing with all correspondence and calls, drafting routine letters to a high standard, minute meetings, preparing correspondences on behalf of CEO, Plan and organize CEO travel and accommodation when required, taking messages and other administrative tasks as required to support the Chief Executive, Acting as a first point of contact.
2. To proactively manage and coordinate the diary of the Chief Executive by prioritizing and arranging internal and external meetings, ensuring appropriate required documents are prepared and provided.
3. To service CEO’s meetings when required by drafting and collating papers and reports, preparing manageable agendas, taking minutes, and following up on actions points.
4. To plan and manage key organizational events such as strategy meetings days, and others as required.
5. Participate and contribute to organizational/team meetings as required.
6. Undertake any other appropriate duties as required to support the Chief Executive to enable them to fulfill their role.
7. Carry out all the duties with complete discretion and a high regard for confidentiality.
8. Managing brand strategy, including the setting of style guides, brand guidelines, brand vision and value proposition for short as well as long term
9. Planning and execution of all communications and media actions on all channels, including online and social media
10. Overseeing the organization of events such as product launches, exhibitions, and photo shoots; Preparing budgets and submitting estimates for program costs as part of event plan development.
11. In charge of providing strategic input and direction for the brand, developing non-campaign brands while keeping the company’s vision, mission, and objectives in mind; and advising internal and external stakeholders on issues relevant to the brand.
12. Planning, writing, editing, and circulating press releases to relevant media houses and following up on publication.
13. Coordinating with the media to disseminate advertising, Identifying, and developing contacts for media, promotional events, and programs.
14. Regularly updating the corporate website by preparing written material, and coordinating with the advertising/ website agency and/ or other sources for photography/ images
15. Managing corporate promotional items for end-year corporate gifts and corporate giveaways throughout the year, including but not limited to sourcing a variety of items, negotiating on quality and price, style, branding and delivery.
Requirements
Knowledge and Experience
• Bachelor’s degree or higher in a large, recognized institution.
• A 3 - 5 years of relevant experience in a large and reputable organization.
• Excellent customer service experience
• Analytical Skills: A need to see through the data and analyze it to find conclusions.
• Communication & Presentation Skills; Administrative and organizational skills
• Critical Thinking: Ability to look at the numbers, trends, and data and come to new conclusions based on the findings.
• Attention to Detail: Data is precise.
• Numerical skills.
• Professionalism and demonstrated ability to handle confidential information.
• Ability to use different IT-based devices.
• Interpersonal, teamwork and attention to details
• Computer literacy in a range of current applications such as word processing, layout, design and photo editing, file, and records management.
