The Guest Relation Assistant is responsible for providing a friendly, welcoming and efficient service to all guests, in line with the Association’s vision and values on customer satisfaction. She will respond courteously to guests’ request, play a part in the smooth running of the Reception administrative and cashiering duties.
The Key Duties
- To undertake Front of House duties, including meeting, greeting and attending to the needs of guests, to ensure a superb customer service experience.
- To build a good rapport with all guests and resolve any complaints / issues quickly to maintain high quality customer service.
- To know categories, position, capacity and furnishing of every room in the premises.
- To be responsible for accurate and efficient accounts and billing processes.
- To undertake general office duties, including filing and switchboard.
- To administer all routes of Reservation to ensure that room bookings are made and recorded accurately.
- Able to furnish information regarding:
a) Hotel layout and all its facilities (Swimming Pool, Launderette Room, F&B Outlets and etc.) operation hours.
b) Locality places of interest, special attractions or events.
c) Names of Transport Services (Flight & Ferry) and time tables if any.
- To handle all incoming and outgoing messages for the guests.
- To ensure that the Reception Counter is manned at all times.
- To answer all incoming calls within 3 rings.
- To assist in keeping the Reception Counter area clean and tidy at all times.
- To be alert and report unusual occurrence to Supervisor on duty.
- To undertake all training as required (First Aid, Health & Safety, Customer Service).
- To perform any other task as directed by the Supervisor from time to time
