ESSENTIAL DUTIES AND RESPONSIBILITIES

• Follow up OTR for all vessels and liaise with surveyors if necessary to verify proper quantity allocations and make a GRN in the ERP or manual system for all hospitality customers having Adhoc, Take or Pay, in normal storage or one stop facility usage.
• Record all product movements, including receipts, deliveries, losses, transfers, gains, etc and issue a stock movement report.
• Issue a periodic stock movement report for approval before dispatching to third parties.
• Send out customer’s statements at least monthly.
• Participate in all bulk liquid stocktaking exercise
• Report & monitor custody fuel stock positions with customers, to various authorities including PBPA,TRA, EWURA and other stakeholders daily or as customarily required.
• Closely work with the Operations department in order to monitor and control all receiving platform operations such as receiving inventory.
• Determine and verify the incoming stock against surveyor reports.
• Preparing and communicate storage contracts with customers.
• Develop and maintain professional relationship with key stakeholders such as Oil Marketing Companies (OMCs), Surveyors, Regulatory authorities such as EWURA, TRA PBPA, WMA etc.
• Prepare regular fuel stock reports to management, TRA, EWURA and other stake holders.
• Prepare and submit weekly EWURA & PBPA fuel report.
• Prepare daily, weekly and monthly depot stock report on each customer product.
• Reconcile physical stock versus books stocks on weekly and monthly basis and analysis of all variance and report the explanation to the management for high level decision.
• Trace and report stock Loss/Gain volume product wise and customer wise.
• Complete all associated paperwork’s and routine progress reports as needed (ie Receipt Docs, Delivery Docs, Contractual Loss Doc, Inter Tanks Transfer etc) in good organized and traceable manner and to make sure are properly authorized.
• Prepare daily stock report on customers, products and capacity.
• Communicate with customers on matters relating to stocks warehousing and clearing
• Communicate and reconcile with customers on all matters relating to stock/product stored in TIPER.
• Analyze stock data including receptions, deliveries, losses, etc and inform management.
• Maintain an organized filing system for all stock accounts and transactions.
• Receive and process customer orders on time
• Follow up customer deliveries via Gantry and pipeline transfers
• Follow up payments of customer invoices for storage, handling, KOJ fees and WMA fees
• Participate in reconciliation of customer accounts
• Control of Customer Orders on the company ERP system on a daily basis
• Participate in any marketing activity to improve sales and profitability of the company
• Prepare and issue Management information System reports as may be required by management from time to time.
• Perform any other duties as may be assigned by the Supervisor.
