Description

Welcome clients to the COSEKE Tanzania reception, provide high level of face to face customer service and maintain a customer focused approach.  Organize waiting room and communicate client arrival to relevant staff members.

Responsiblities

  • Support the efficient running of COSEKE’s office daily operations.
  • Support logistics for COSEKE’s activities.
  • Develop mechanisms to ensure regular communication, planning and reporting of priorities takes place across all departments.
  • Providing supplies by identifying needs for reception, switchboard, mailroom,
  • Keeping track of office supplies and sends requisition as and when required ensure
  • Recording all phone calls and ensure the landline cost are fully managed.
  • Responsibility for accounts and budgets (handling company petty cash)
  • Providing historical reference by developing and utilizing filing and retrieval systems.
  • Contributing to team effort by accomplishing related results as needed.
  • Arranging travel, visas and accommodation and, occasionally, travelling with the manager to take notes or dictation at meetings or to provide general assistance during presentations
  • Meeting and greeting visitors
  • Being involved in decision-making processes in regards to administration
  • Dealing with incoming email and post, often corresponding on behalf of the manager
  • Taking dictation and minutes for the MD and admin. Meetings
  • Organizing and attending meetings and ensuring the manager is well prepared for meetings
  • Liaising with clients, suppliers and other staff
  • Any other duties as assigned
  • Organize COSEKE Tanzania  internal meetings
  • Ensure all files are stored and archived according to COSEKE policy and procedures
  • Formulate correspondences on behalf of COSEKE Tanzania as directed;
  • Attend administrative meetings as scheduled
  • Ensure overall cleanliness of the office and kitchen
  • Be in charge of all flight bookings, travel arrangements, local transports for COSEKE Tanzania office staff, advisors and consultants; both in-country and international.
  • Be in charge of all visas, work permit and other government requirement for COSEKE Tanzania office staff and families, advisors and consultants.

  • Bachelor’s degree in Business Administration.
  • At least 1 years of experience in the field of /Administration in a busy office.
  • Proven Middle level Administration Management experience
  • Prioritisation and time management
  • Experience of report writing utilising excel, word and power point
  • Ability to communicate at all levels
  • Problem solving skills
  • Ability to innovate to create and implement continuous improvement initiatives
  • Adaptability and flexibility – willing to work on a variety of projects and perform in multiple roles
