Job Title: Administration Assistant Officer

Job Summary.
The Administration Assistant Officer is responsible for providing administrative and clerical support to ensure the smooth operation of office activities. The role supports day-to-day operations, including document management, office coordination, logistics, and support to other departments, contributing to efficient and professional workplace standards.
Job Descriptions.
- Assist with the coordination of office activities and administrative functions.
- Maintain and update physical and digital filing systems, records, and documents.
- Handle incoming and outgoing correspondence, including emails, letters, and packages.
- Support scheduling of meetings, preparing agendas, taking minutes, and organizing venues.
- Manage office supplies inventory and coordinate procurement with the supply team.
- Support in logistics planning for staff travel, accommodation, and event arrangements.
- Liaise with internal departments to ensure administrative needs are met in a timely manner. 8. Assist in maintaining employee attendance records and HR-related documentation as required.
- Ensure compliance with company policies, procedures, and confidentiality standards.
- Perform other clerical or administrative duties as assigned by the supervisor.
Requirements:
- Diploma or Bachelor’s degree in Business Administration, Management, Human Resource Management, or a related field.
- Minimum of 2 years of experience in an administrative or office assistant role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong organizational and time management skills.
- Excellent written and verbal communication skills.
- High level of integrity, professionalism, and attention to detail.
- Ability to multitask and work under minimal supervision.
- Proficiency in both English and Swahili, with strong verbal and written communication abilities.
